Overview
The United 4 Children’s Program Support Coordinator plays a crucial role in ensuring the smooth operation and success of the organization’s programs and projects. This position involves a combination of program and project support, contract management, and administrative duties. The coordinator will assist in planning, coordinating, and implementing program activities, tracking milestones and deliverables, and supporting managers in monitoring progress and resolving issues. Additionally, the role includes preparing and reviewing contracts, maintaining detailed documentation, and coordinating logistics for various events and sessions. Comprehensive administrative support is also a key component, involving scheduling, correspondence, report preparation, and resource management. The coordinator will act as a liaison for program inquiries, ensuring effective communication and coordination with internal and external stakeholders, and will assist in compliance and reporting to meet organizational policies and regulatory requirements.
What You Will Do
Program and Project Support:
- Assist in the planning, coordination, and implementation of program activities.
- Track program milestones and deliverables to ensure timely completion.
- Support managers in monitoring project progress and resolving issues.
- Maintain detailed project documentation and records.
- Assist in any needed research and data collection to support program development and evaluation.
- Aid in coordination of logistics for program events, workshops, and training sessions.
- Provide technical and logistical support for virtual and in-person program activities.
Contract Management:
- Assist in the preparation and review of contracts and agreements. Operations
- Maintain a contract management database and ensure all documents are up-to-date.
- Coordinate staff and managers as needed to support program activities.
Administrative Duties:
- Provide comprehensive administrative support to program managers and staff.
- Assist in scheduling and coordinating meetings and preparing agendas.
- Support program-related correspondence, including emails, letters, and reports.
- Organize and maintain program files, records, and databases.
- Assist in the preparation of reports, presentations, and other documents.
- Maintain office supplies and manage inventory related to program needs.
- Coordinate travel arrangements and accommodations for program staff and participants.
Resource Management:
- Track program expenditures and assist in budget reconciliation.
- Ensure efficient use of program resources and materials.
Communication and Coordination:
- Serve as a point of contact for program inquiries and communications.
- Coordinate with internal and external stakeholders to support program activities.
- Prepare and distribute program-related communications and materials.
Compliance and Reporting:
- Ensure program activities comply with organizational policies and regulatory requirements.
- Assist in the preparation of reports, metrics and performance indicators for management and funding agencies.
Skills We Are Looking For
- Minimum of a CDA or equivalent work experience/educational credits, AA-degree or Bachelors degree in Early Childhood Education, Early Childhood Special Education.
- Strong ability to manage multiple tasks and projects simultaneously.
- Detail-oriented with a focus on accuracy and efficiency.
- Excellent verbal and written communication skills.
- Ability to effectively communicate with diverse stakeholders.
- Experience in tracking and managing project timelines and deliverables.

- Strong skills in scheduling, documentation, and report preparation.
- Ability to conduct research and analyze data to support program evaluation.
- Strong analytical skills to prepare and interpret metrics and performance indicators.
- Ability to work both independently and as part of a team.
- Strong collaboration and coordination skills across multiple teams.
- Proficiency in virtual meeting platforms and other relevant technologies.
- Ability to provide technical support for program activities.
- Ability to travel as needed for program activities and meetings.
- Experience with government contracts is a plus.
- Pass a Family Care and Safety Registry Screening.
- Authorized to work in the United States.
- Ability to retain a minimum of liability vehicle insurance.
- Experience and skill working with diverse populations.
- Conscientious use of justice, equity, and inclusion lens when working with self and others.
- Ability to work occasional weekends and nights.
